Privacy notice

Eligibility Hub is operated by Vixel Agency LLC, 3030 S Rural Rd, Ste 107, Tempe, AZ 85282. This notice covers this website and the customer portal. Patient-specific work happens in the separate clinical hub under each practice's Business Associate Agreement, not here.

• We do not run advertising or analytics trackers on this website.
• Your light or dark theme choice is saved in your own browser storage. It never reaches our servers.
• The contact form opens your own email app with the message filled in. We receive it only if you send that email. The text is screened for patient information before it opens and is not stored.
• Our hosting provider keeps standard request logs (such as IP address and pages requested) to run and protect the service.

• Account details: your work email, your name if you add it, your practice name and practice type, and your role on the account.
• Sign-in: we email a one-time sign-in link and keep a session cookie so you stay signed in. The cookie is not used for advertising.
• Business figures: setup status, credentialing order counts and monthly insurance collection totals used to calculate your fee.
• Assistant and support: messages you send to the portal assistant are stored encrypted, and support tickets you create are kept with your account.
• No patient health information. The portal never asks for it, and messages that look like patient details are blocked.

Payments are handled by Stripe. Your card details and billing address go directly to Stripe and are governed by Stripe's privacy policy. We keep your Stripe customer reference and subscription status, not your card number.

We use providers to run the service: Stripe for payments, Cloudflare for hosting, Neon for the database, Resend to send sign-in emails and Anthropic to generate portal assistant replies. They process data only to provide their service to us. We do not sell personal information.

You can ask us what account information we hold about you, ask us to correct it, or ask us to delete it, subject to records we must keep for billing and tax. Email asinichar@vixelagency.com.
